SMS Notifications (Data & Privacy)
We may send SMS (text) notifications related to your account, events you register for, or other updates, only if you have provided explicit consent through our website forms or your member dashboard.
Opt-In & Opt-Out Process
-
Types of messages include:
Event confirmations after registration.
Event reminders (e.g., 24-hour and 3-hour reminders).
Occasional important updates related to your membership or event attendance.
-
Opt-In/Consent:
You must actively opt-in to receive SMS notifications either at the member account level (via your dashboard preferences) or the event level (during checkout when purchasing tickets).
These preferences are stored securely in our custom database and tied to both your account and event participation.
-
Opt-Out:
You may opt out of SMS communications at any time by updating your preferences in your member dashboard or by replying STOP to any text message you receive.
Once opted out, you will no longer receive SMS messages, but may continue receiving email notifications if enabled.
-
Data we collect for SMS:
Your phone number and opt-in status.
Association of your opt-in with your account and specific event registrations.
Message delivery and interaction data (e.g., successful delivery confirmations, unsubscribes).
-
How your SMS data is used:
Exclusively for providing event-related updates and membership communications.
We do not sell or share your phone number with unaffiliated third parties.
SMS data may be processed by trusted service providers (e.g., Twilio) solely for the purpose of delivering messages.
-
Frequency of messages: Message frequency varies depending on your level of activity (e.g., number of events registered). Typical use cases are confirmation + reminders.
-
Carrier disclaimers:
Message and data rates may apply.
Carriers are not liable for delayed or undelivered messages.
For program rules (STOP/HELP handling, consent for marketing SMS, and additional disclosures), please see our Terms & Conditions.
Who we share your data with
If you request a password reset, your IP address is included in the reset email. For SMS delivery, your phone number and message data are processed through our third-party SMS provider (currently Twilio) solely to deliver messages you have opted in to receive.
How long we retain your data
Comments and their metadata are retained indefinitely.
For registered users, personal information in profiles is stored until the account is deleted or updated.
SMS opt-in preferences are stored as long as your account is active, or until you withdraw consent. Delivery logs may be retained for a limited period for troubleshooting and compliance.
What rights you have over your data
If you have an account, you can request an exported file of personal data we hold about you (including SMS opt-in records). You may also request deletion of your personal data, except where we are required to retain it for legal, administrative, or security purposes.
You may revoke SMS consent at any time by updating your account preferences or replying STOP to any text message.
Where your data is sent
Visitor comments may be checked through automated spam detection. SMS messages are routed through our SMS provider for delivery, and may pass through carrier networks outside our direct control.
